JOB SUMMARY

Reporting to the Business Manager, the Accountant serves in a position as staff resource in support of the Business Manager, ensuring that the parish needs in accounting, administration and finance are fulfilled. The primary role is to be responsible for the monthly and yearly financial reporting, reconciling of all bank accounts, review and make adjustments to the financials. Work on cash flow management.

ESSENTIAL JOB RESPONSIBILITIES

Finance Responsibilities

  • Maintain accurate and complete financial records through use of QuickBooks by recording all deposits and disbursements for all parish accounts, including Diocesan PAF investment accounts.
  • Complete monthly reconciliation for all parish, school and organizations banks accounts.
  • Record all invoices and prepare payments for outstanding invoices in a timely manner. Review payable balance monthly.
  • Prepare monthly financial reports for Finance Council.
  • Prepare fiscal budget with input from Pastor and Business Manager.
  • Prepare financial reports for Finance Council meetings. Attend meeting and record and maintain meeting minutes.
  • Attend with the Business Manager quarterly Diocese and other meetings as requested.

Church Contributions

  • Weekly deposit of check from all collections. Deposit of all other funds received through special collections, votive candle offering, etc.
  • Timely recording of all contributions into donor’s record in ParishSoft.
  • Create yearly Giving Statements for all contributors.
  • Manage use of Online Giving. Research and rectify any error transactions. Export monthly transactions and upload into parishioners' records in ParishSoft.

Payroll

  • Maintain hourly employee time sheets.
  • Process twice-monthly payroll for all employees using PayCor payroll system online.
  • Complete necessary entries in QuickBooks for each payroll cycle to maintain all wage and benefit account balances.
  • Maintain personnel records using HR Performer online.
  • Assist Pastor and Business Manager in determining employee’s payroll compensation.
  • Support staff by answering HR questions.

Tuition

  • Setup and maintain all tuition accounts, including online service through FACTS.
  • Record payments of tuition and maintain family account balances in Quickbooks.
  • Assist principal on oversight of Ed Choice and Jon Peterson and allocate funds to appropriate tuition accounts.
  • Maintain tuition records for all PSR students, process all payments received, and send out tuition statements yearly as needed.
  • Collect all school and PSR tuition.
  • Manage grants, subsidies and state tuition support given to families to defer costs.
  • Record cafeteria payments from families in Quickbooks.

Required: Compliance with BCI&I background checks and completion of Protecting God’s Children program.

Education: Bachelor's degree; Accounting or Finance experience is preferred.  Knowledge and understanding of the Catholic Church and its mission is required.

Experience: Two to three years previous office experience required or equivalent combination of education and experience.
